1. Introduction

The Rob & Katie Ruelas Family Foundation ("we," "our," or "the Foundation") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at rkrfamilyfoundation.org or submit information through our forms.

2. Information We Collect

We collect information that is reasonably useful for operating the website, understanding community interest, responding to requests, and administering Foundation programs:

  • Information you provide: Name, email address, phone number, mailing address, application answers, uploaded documents, and other information voluntarily submitted through application, contact, membership, story, or newsletter forms.
  • Financial and educational information: Income, expenses, debts, household circumstances, school or training information, requested use, and supporting records supplied for an assistance application. We do not request Social Security numbers, passwords, or full bank-account numbers through the ordinary website application.
  • Visit and engagement information: A random first-party visitor identifier and session identifier; pages and page titles viewed; visit time; referring site; campaign parameters; link and button interactions; form starts, validation outcomes, and submissions without recording field values as analytics events; time engaged; and maximum scroll depth.
  • Device and connection context: General device class, browser, operating system, language, time zone, screen and viewport dimensions, approximate memory and processor capacity, touch capability, and browser-reported network type, speed, latency, or data-saver setting when available.
  • Coarse network location: Country, region, city, postal or metro area, network provider or organization, and the Cloudflare data-center serving the request. These values are approximate. We do not retain raw IP addresses or collect precise GPS location.
  • Privacy signals: Whether the browser sends Do Not Track or Global Privacy Control. When either signal is enabled, the visitor identifier is limited to the browser session rather than stored persistently.

We do not use canvas, audio, installed-font, or similar probabilistic fingerprinting and do not use the information for targeted advertising.

3. Linking Visits to Information You Submit

Website activity begins under a random identifier. If you voluntarily submit a message, application, membership interest, story, or newsletter request during a visit, we may associate that first-party visitor history with the resulting Foundation record. This helps staff understand how you found the Foundation, the pages and forms used before the request, and any follow-up visits from the same browser. We do not attempt to identify anonymous visitors through third-party data brokers or probabilistic fingerprinting.

4. How We Use Your Information

We use information to process and evaluate requests; respond to inquiries; administer grants, scholarships, memberships, and donor communications; understand outreach and website effectiveness; diagnose errors and abuse; secure Foundation systems; maintain required records; and comply with legal obligations. Newsletter and outreach messages are sent only on an appropriate consent or other lawful basis.

5. Information Sharing

We do not sell or rent personal information and do not share it for cross-context behavioral advertising. Information may be provided to service providers operating under appropriate confidentiality and security obligations, professional advisers, payment or document providers selected for an approved request, or governmental authorities when legally required.

6. Retention and Security

Detailed website events and visitor-to-submission links are ordinarily retained for up to 24 months, after which aggregate statistics may remain. Applications and Foundation operational records may be retained longer when required by grant administration, tax, audit, legal, or recordkeeping obligations. We use technical and organizational safeguards, access-controlled administrative systems, encryption for sensitive integrations, and individual staff accounts. No internet transmission or storage system can be guaranteed completely secure.

7. Your Choices and Rights

You may request access to, correction of, or deletion of personal information, or ask questions about a visitor-to-submission link, by emailing info@rkrfamilyfoundation.org. We may need to verify the request and may retain information when legally required. Enabling Global Privacy Control or Do Not Track limits the analytics identifier to the current browser session.

8. Children's Privacy

Our website is not directed to children under 13. We do not knowingly collect personal information from a child under 13 without legally sufficient authorization. If you believe such information was submitted, please contact us immediately.

9. Changes to This Policy

We may update this Privacy Policy as our programs, technology, or legal obligations change. The current version and updated date will remain posted on this page.
